How to Save Meeting Insights to Notion

Automatically sync meeting summaries, action items, and transcripts to your Notion workspace for a unified knowledge base.

Overview

Notion is where teams build their knowledge bases, project wikis, and documentation—but meeting insights often live in a separate silo. With Efficlose's Notion integration, you can automatically sync meeting summaries, action items, and transcripts directly to your Notion workspace. Every meeting is saved as a subpage under your chosen parent page, building a searchable archive of every conversation without any manual effort.

Step-by-Step Instructions

Step 1: Select Notion Integration

Start the connection process in Efficlose:

  1. Navigate to SettingsIntegrations
  2. Find Notion in the integrations list
  3. Click Connect or Set Up

Step 2: Authorize Access in Notion

You'll be redirected to Notion to grant page access:

  1. Notion's authorization page will open
  2. Review the access request from Efficlose
  3. Important: Select the pages you want to share with Efficlose
    • Choose the page(s) where you want meeting insights saved
    • You can select multiple pages if needed
  4. Click Allow access to confirm
Important: Make sure to select at least one page during authorization. Efficlose can only save meeting insights to pages you explicitly share access to.

Step 3: Select Your Parent Page

After authorization, you'll return to Efficlose to finalize the setup:

  1. You'll be redirected back to Efficlose automatically
  2. A list of your shared Notion pages will appear
  3. Select a Parent Page — this is where all your meeting insights will be saved
  4. Click Complete Setup to finalize the integration
How it works: All meeting insights are saved as subpages under your chosen parent page. For example, if you select "Meeting Notes" as your parent page, each meeting will create a new subpage like "Meeting Notes / Weekly Standup - Jan 2, 2026".

Step 4: Automatic Meeting Sync

Once configured, meeting insights sync automatically:

  1. Record a meeting with Efficlose or upload a recording
  2. AI processing generates summary, action items, and transcript
  3. A new subpage is automatically created under your parent page
  4. The subpage contains the complete meeting insights

Step 5: View Your Meeting Insights

Access your synced meeting insights in Notion:

  1. Open your Notion workspace
  2. Navigate to your selected parent page
  3. You'll see all meeting insights as subpages, organized chronologically
  4. Click any meeting to view the full summary, action items, and transcript

What Each Meeting Page Contains

Every synced meeting creates a subpage with:

  • Meeting Title: Name with date
  • Meeting Details: Duration, participants, and link back to Efficlose recording
  • Summary: AI-generated overview of the discussion
  • Key Decisions: Important outcomes agreed upon
  • Action Items: Checklist of tasks with assignees and due dates
  • Transcript: Full searchable meeting transcript

Working with Action Items

Action items appear as checkboxes within each meeting page:

  • Click checkboxes to mark items complete
  • Each item shows the assignee and due date
  • Copy action items to your own task management pages
  • Link action items to related project pages

Best Practices

Choose the Right Parent Page

Dedicated Meeting Notes Page

Create a dedicated parent page for meeting insights:

  • Name it clearly: "Meeting Notes", "Efficlose Meetings", or "Team Recordings"
  • Place it in an easily accessible location in your workspace
  • Share the parent page with team members who need access
  • Pin it to your sidebar for quick access

Organize Within Your Workspace

Consider your team's structure:

  • Single team: One parent page for all meetings
  • Multiple teams: Create separate parent pages per team
  • By project: Use project-specific parent pages for focused archives
  • By client: Client-dedicated pages for account management
Tip: You can change your parent page anytime in SettingsNotion. New meetings will save to the new location, but existing meeting pages stay where they were created.

Organize for Searchability

Consistent Naming

Use predictable meeting titles:

  • [Project] - Meeting Type - Date
  • Client Name - Topic - Date
  • Team - Weekly Standup - Date

Strategic Tagging

Apply tags for fast filtering:

  • By team: #engineering, #design, #sales
  • By topic: #roadmap, #hiring, #budget
  • By status: #needs-follow-up, #resolved
  • By priority: #urgent, #important

Link Related Pages

Connect meetings to your workspace:

  • Link to project pages
  • Reference client databases
  • Connect to team wikis
  • Attach related documents

Build a Knowledge Base

Meeting Summaries as Documentation

Use synced meetings as reference:

  • Search past decisions by keyword
  • Find when topics were discussed
  • Review context before follow-up meetings
  • Share meeting links instead of re-explaining

Create Summary Rollups

Aggregate insights across meetings:

  • Weekly digest pages
  • Project decision logs
  • Client communication history
  • Quarterly review summaries

Team Collaboration

Share Meeting Pages

Keep your team informed:

  • Meetings sync to shared workspace
  • @mention team members in comments
  • Use linked databases for team views
  • Set up notifications for new meetings

Maintain Accountability

Track action items effectively:

  • Review open items in task database
  • Use reminder dates in Notion
  • Create dashboards for team leads
  • Celebrate completed items

Troubleshooting

Connection Issues

Re-authorize the Integration

If sync stops working:

  1. Go to EfficloseSettingsIntegrationsNotion
  2. Click Reconnect
  3. You'll be redirected to Notion to re-authorize
  4. Make sure to select your parent page during authorization
  5. Complete the setup by selecting your parent page again

Check Notion Permissions

In Notion Settings → Connections:

  1. Find the Efficlose connection
  2. Verify it has access to your parent page
  3. If the parent page was moved or deleted, re-authorize with a new page
  4. Remove and re-add the connection if permissions seem broken

Meetings Not Syncing

Verify Parent Page is Selected

  1. Go to SettingsNotion
  2. Confirm a parent page is selected
  3. If no page is shown, click Select Parent Page to configure

Check Parent Page Access

Ensure Efficlose still has access to your parent page:

  • The page hasn't been deleted or moved to a private section
  • Your Notion permissions haven't changed
  • The Efficlose connection is still active in Notion settings

Test with a New Recording

  1. Upload a short test recording to Efficlose
  2. Wait for AI processing to complete
  3. Check if a new subpage appears under your parent page
  4. If not, try reconnecting the integration

Missing Content

Meeting Page is Empty

  • Wait a few minutes—AI processing may still be in progress
  • Check the original recording in Efficlose for the summary
  • Refresh the Notion page to see updated content

Transcript Not Appearing

  • Verify transcripts are included in your Efficlose plan
  • Large meetings may take longer to process
  • Check the Efficlose recording page to confirm transcript exists

Parent Page Issues

Can't Find Parent Page

If your parent page doesn't appear in the selection list:

  1. Go to Notion Settings → Connections → Efficlose
  2. Click to edit the connection permissions
  3. Add the page you want to use as parent
  4. Return to Efficlose and refresh the page list

Want to Change Parent Page

  1. Go to SettingsNotion
  2. Click Change Parent Page
  3. Select a new parent page from the list
  4. Future meetings will save to the new location
