Zoho CRM Integration

Zoho CRM OAuth connection, Lead/Contact/Account/Deal sync, meeting notes and call logging.

Zoho CRM Connection

We use OAuth 2.0 to securely connect with your Zoho CRM account. No API keys or credentials are needed — just authorize access through Zoho.

  1. Navigate to SettingsIntegrations
  2. Find "Zoho CRM" in the integrations list
  3. Click Connect
  4. You will be redirected to Zoho to authorize the connection
  5. Log in with your Zoho account and grant access
  6. You will be redirected back to EffiClose automatically
  7. A setup wizard will open — walk through the steps to configure sync settings and meeting filters
  8. The integration status will show as "Connected"
Note: The Zoho account you use to authorize the connection determines the permissions for reading and writing data. Make sure this account has access to Leads, Contacts, Accounts, Deals, Notes, and Events in your Zoho CRM organization.
Multi-region support: EffiClose automatically detects your Zoho data center region (US, EU, IN, AU, JP) during authorization. All API requests are routed to the correct regional endpoint — no manual configuration needed.

Setup Wizard

After authorizing the connection, a guided setup wizard walks you through six steps:

  1. Authentication — Confirms your OAuth connection is active
  2. Test Record — EffiClose creates a test Lead and Note in your Zoho CRM to verify that permissions are configured correctly. These test records are cleaned up automatically.
  3. Sync Settings — Choose which objects to sync and how fields are mapped
  4. Meeting Filters — Configure which meetings should trigger CRM updates
  5. Visibility — Control who on your team can see the integration and its synced data
  6. Review & Activate — Review your configuration and activate the integration
Important: If the test record step fails, check that your Zoho account has create permissions for Leads and Notes. You may need to adjust your Zoho CRM profile or role permissions.

Data Synchronization

Data syncs between the platform and Zoho CRM automatically every 2 hours.

Imported Objects:

We import the following Zoho CRM objects, automatically resolving relationships between them:

  • Lead: Syncs leads matched by meeting participant email addresses, including name, email, phone, company, designation, lead source, and industry
  • Contact: Syncs existing contacts matched by email, including name, phone, department, title, and associated account
  • Account: Imports accounts (companies) associated with your synced leads and contacts, including industry, website, and account type
  • Deal: Imports open deals linked to your synced leads and contacts, including deal name, stage, pipeline, amount, and closing date
Note: Records are imported based on meeting participant emails, so only data relevant to your meetings is synced — not your entire Zoho CRM database.

What You Can Do After Setup

Once connected, EffiClose automatically enriches your Zoho CRM with meeting intelligence:

  • Lead matching and creation: Meeting participants are automatically matched to existing Zoho leads by email. If no match is found, a new lead can be created with name, email, phone, company, designation, and other standard fields.
  • Meeting notes: After each meeting, a summary note is created and attached to the relevant lead or contact. The note includes the meeting title, summary, action items, and a link to the recording (when available). If the lead or contact has an open deal, the note is attached to the deal as well.
  • Call logging: Meetings are logged in Zoho CRM as calendar events with title, description, and duration. By default, EffiClose creates both an event and a note for each meeting — you can configure this to event-only or note-only in your sync settings.
  • Re-sync past meetings: You can re-sync previously processed meetings to update Zoho CRM with the latest data.
Note: Zoho CRM uses Leads as the primary record type for new meeting participants. Leads represent potential customers before they are converted to Contacts. You can convert leads to contacts directly within Zoho CRM at any time.

Troubleshooting

Connection issues:

  • Try disconnecting and reconnecting the integration
  • Ensure the Zoho account you used to authorize has API access enabled
  • Check that your Zoho CRM organization allows third-party OAuth connections
  • If you recently changed your Zoho data center region, disconnect and reconnect to update the regional endpoint
  • The connection stays active using a refresh token — you should not need to re-authorize periodically

Sync errors:

  • Disconnect and reconnect the integration
  • Verify the authorized account has proper permissions for the synced objects
  • Review error messages in the integration status page

Permission issues:

  • Ensure the authorized account has access to the required objects (Lead, Contact, Account, Deal, Note, Event)
  • Check Zoho CRM profile and role permissions
  • If the setup wizard test record step fails, the account may be missing create permissions for Leads or Notes
